Navigating the Worksheet

In Excel, you can always use the mouse to click on any cell you want to edit. If editing data in more than one cell, you can use any of the following keyboard commands to navigate to the the next cell you want edit:

Key stroke Movement
Up Arrow key One cell up
Down Arrow key or ENTER One cell down
Left Arrow key One cell left
Right Arrow key or TAB One cell right
CTRL+HOME Top of the worksheet (cell A1)
CTRL+END End of the worksheet (last cell containing data)
CTRL+Right Arrow key End of the row
CTRL+Down arrow key End of the column
Edit > Go To (Menu bar command) Any cell

Exercise:

  1. Find address_book.xls and open it.
  2. Use the up, down, right and left arrow keys to move around in the worksheet.
  3. Use CTRL+HOME and CTRL+END keys to move around.
  4. Use CTRL+RIGHT and CTRL+DOWN keys to move around.
  5. Use CTRL+RIGHT and CTRL+DOWN keys to move around.
  6. Use the EDIT/GO TO menu bar item to go to cell D4.


Canceling an Entry:

To cancel an entry before you have pressed enter or have moved to another cell, simply press the ESC (escape) key on your keyboard.

Undoing and Redoing Data Entry Errors:

Excel keeps track of every change that you make in a workbook. This allows you to to "UNDO" anything that you have entered. Excel will keep track of multiple changes, which allows you to undo many changes working backwards in the order in which you made them.

You can use the UNDO button on the Standard Toolbar to undo changes. The arrow will be grayed out if there are no changes recorded, but as soon as there are changes you can undo, it will become visible as shown below:

You can click on the drop down arrow beside the UNDO arrow and a list of all of your changes will drop-down. The most recent change will be at the top and the oldest at the bottom. If you click on an older change, Excel will undo every change you made after that as well.

If you change your mind about an UNDO, you can use the REDO button on the standard toolbar to reverse it.

Exercise:

  1. Open or switch to workbook1.xls if it is not already active.
  2. Enter five different colors in various cells.
  3. Try out the different methods of undoing and redoing your entries.
  4. Save your workbook.
